CONDITIONS OF ENTRY

EVENT CONDITIONS OF ENTRY

Commercial promotions, giveaways, advertising and media activity
Applicable to all VicDrift-operated events and venues.

NO UNAUTHORISED FLYERS, EVENT PROMOTIONS, GIVEAWAYS OR COMMERCIAL ADVERTISING SHOOTS.

1. Who these conditions apply to

These conditions are issued by Victorian Drift Club Inc. (VicDrift) for events organised, operated or controlled by VicDrift, regardless of event name, venue or location. They apply to spectators, drivers, passengers, crew, volunteers, stallholders, contractors, sponsors, photographers, media, guests and anyone else admitted to areas controlled by VicDrift for the event.

“Event area” means the venue, entry areas, pits, paddocks, spectator areas, parking areas and other spaces forming part of the event footprint, but only to the extent that VicDrift or the venue operator has lawful authority to regulate access and activity there. These conditions do not purport to regulate lawful activity on unrelated public land outside that footprint.

These conditions supplement the rules of the relevant venue and any event-specific driver, safety, ticketing, media or participation conditions communicated to attendees. Mandatory laws and applicable venue directions take precedence to the extent of an inconsistency.

2. Activities requiring prior written approval

Unless specifically approved in writing by VicDrift before the activity takes place, people must not use an event area to:

  • Distribute, place or display advertising leaflets, flyers, business cards, brochures, stickers, posters, vouchers, promotional QR codes, handouts or similar marketing materials.
  • Advertise, promote or solicit registrations for another motorsport event, venue, organiser, business, product or service, including by approaching attendees or using roving promotional staff.
  • Run or publicise raffles, lotteries, prize draws, competitions, product giveaways, free sampling, fundraising campaigns or other promotional activations.
  • Sell products, tickets, memberships or services, collect commercial leads, conduct marketing surveys or solicit sponsorships outside an authorised stall, team allocation or written arrangement.
  • Erect or operate an unauthorised trade stand, display, roaming sign, banner, promotional vehicle activation, pop-up stall or other advertising installation.
  • Plan, commission or record photographs, video, audio, interviews or livestreams principally for advertising, sponsored promotions or marketing of another commercial operation or event.
  • Use VicDrift names, logos, official media or event branding without the relevant permission, or make misleading statements suggesting another business or event is endorsed by or affiliated with VicDrift.

The prohibition applies whether the activity is carried out personally, by staff or agents, or through someone acting on the person’s behalf. Purchase of a spectator or driver ticket is not commercial-promotional authorisation.

3. What is normally permitted

VicDrift welcomes normal spectator photography and videography, personal social-media posts and sharing of an enjoyable day at the track, subject to venue and safety requirements. Ordinary personal posts do not become prohibited solely because the account has followers or incidental platform monetisation.

Drivers and teams may display their normal vehicle liveries, team clothing and existing sponsor branding in their approved areas, subject to applicable event rules. Wearing a shirt bearing another event or business logo is not by itself a breach. These allowances do not authorise roving flyer distribution, solicitations, unapproved stands or separate promotional activations.

Genuine news gathering and independent editorial reporting are not prohibited merely for covering or referring to an event. Media personnel must still comply with venue safety, accreditation and access rules, and any rights conferred by law remain unaffected.

4. Commercial photography, filming and event footage

Prior written permission is required to use access to a VicDrift event to create footage or imagery intended for a third-party advertisement, competing-event campaign, paid promotional shoot, commercial marketing package or similar advertising purpose. Permission may identify the people, location, dates, intended use and permitted distribution channels.

A general admission ticket or media accreditation does not automatically authorise a commercial advertising campaign. VicDrift may require separate approval for filming in restricted or controlled-access areas.

These conditions do not automatically assign to VicDrift the copyright in photographs or videos independently created by attendees. VicDrift does not claim ownership of independently created footage merely because it was captured at one of its events. Separate copyright, confidentiality, contract, privacy, trade mark and misleading-conduct laws may also apply.

Where a person has agreed to these conditions and breaches a restriction on commercial filming or promotional activity, VicDrift may seek an appropriate lawful remedy. VicDrift staff will not confiscate cameras or phones or require footage to be deleted on the spot.

5. Approvals and authorised event partners

Sponsors, vendors, exhibitors, commercial photographers, journalists and other operators seeking permission must email info@vicdrift.com before the event and obtain written confirmation. Silence, previous attendance, payment for admission or permission at a different VicDrift event is not approval.

Written approval applies only to the named person or organisation, activities, event, location and period stated in it. VicDrift may impose reasonable safety, access, privacy, sponsor, venue and operational conditions. Authorised exhibitors and sponsors must stay within their agreed scope.

6. Directions, entry refusal and removal

If authorised VicDrift staff or venue management have reasonable grounds to believe these conditions are being breached, they may direct the person to stop the activity, remove an unauthorised display or promotional material from the event area, and comply with reasonable, lawful instructions.

For an isolated, non-dangerous issue, VicDrift will ordinarily explain the issue and offer a reasonable opportunity to comply. For a serious, deliberate or repeated breach, refusal to follow lawful directions, or conduct creating a safety or security risk, VicDrift may, where it is lawfully entitled and in coordination with the venue operator, refuse entry, withdraw accreditation or event access, cancel or deactivate an admission entitlement, and direct the person to leave the event area.

Decisions will be based on conduct and reasonably available evidence, not merely on a person working for another club, organising a competing event, wearing branded clothing or expressing criticism. Venue security or police may be asked to assist when appropriate. Staff and volunteers must not use unauthorised force or seize personal property.

Refunds and other remedies, if any, will be assessed under the purchase terms, the reason for the action and applicable Australian Consumer Law or other mandatory law. Nothing in these conditions excludes, restricts or modifies rights that cannot lawfully be excluded.

7. Publication, existing tickets and changes

VicDrift intends these conditions to be provided prominently before new ticket purchases and displayed at event entry points. The relevant published version and any event-specific conditions applicable at the time of purchase or entry will be considered when resolving an issue.

Publishing or updating this page does not automatically make new contractual restrictions binding on tickets already purchased. Where appropriate, VicDrift will notify existing ticket holders, seek agreement or provide legally required options before relying on a material new condition.

VicDrift may update this policy for future events or bookings. Changes do not override existing contractual or statutory rights.
